Symposium FAQs
REGISTRATION
Q: I registered for the symposium but cannot find my confirmation or receipt.
A: All registrants are sent an email reply immediately confirming payment and status. Closer to the August 21 symposium, you will receive an email notification with reminders. The website and the registration portal will be updated as often as possible with speaker/panel and schedule information. Please check your email SPAM folder if you are not receiving emails from the ASP. We recommend changing your email settings so you can receive all emails from our conference.
Q: Are scholarships be available?
A: Yes. We are now able to offer scholarships for complimentary registration. You must submit the scholarship form in order to qualify. Whether you register during the Early Bird or Regular pricing, the scholarship will cover the full expense. Here is the link to the Scholarship Submission Form.
Q: Can I register during the symposium and still attend?
A: Yes, registration will be possible on August 21 through 5pm PT. And you will also have access to the video recordings soon after through December 31, 2025.*
Q: I cannot attend part or all of the symposium, but I understand there will be recordings. If I register for the symposium, when will the video recordings be available.
A: Session video recordings will be available soon after the Symposium. When done, we will send out an email to all registrants who will then be able to access the videos & chat on the conference platform through December 31, 2025.* The videos will be accessible but not shareable. Note that we are not able to record the break out sessions.
ATTENDING
Q: How will I be accessing the symposium?
A: The ASP2025 Virtual Symposium attendee portal is through the Learn@ASP portal. You must create a login at registration. This is how you will be able to access the live panel sessions on the day of. Please note that Creating Access to the Learn@ portal allows you to register for other workshops! But it is not the same portal as MyASP for donations and partnership /supporter fees.
Q: When will I receive my welcome email?
A: A week prior to the symposium, we will be sending you an email with instructions. You will need to Login to the Learn@ Portal with the email you used at registration time. This is a unique link and give access only to the single email address.
Q: Can I receive ed credits for attending?
A: Yes, we will be sending out credits for 8 hours of attendance after the Symposium
REFUNDS
Q: If I can not attend the symposium, are refunds available?
A: Please do remember that we are offering video recordings of the day through December 31, 2025* for those who are not able to attend, or who can not attend the entire day of panels. You must be registered in order to view these videos. However, should you change your mind and wish not to attend, please contact us at meeting@astrosociety.org to obtain a refund. Refunds are accepted up through 2 days prior to the symposium.
*Please note that the time has changed from 1 year to 4 months as this is a one day symposium with 4 panels and not a 3-day conference with 75 workshops and panels. We hope you understand. Also note that the breakouts will not be recorded, only the panel and Q&A.
