REGISTRATION FAQs

Q: I registered for the conference but have not received my confirmation or invoice.

A: All registrants are sent an email reply immediately confirming registration status with the ASP. Closer to the August 22-24 conference dates, you will receive an email notification with links to the Full Schedule and access to the Conference Attendee Portal. 
IMPORTANT: Please check your email SPAM folder if you have not received either of these emails as a registrant. We also recommend changing your settings so that you can receive all emails from our conference.

Q: Are you offering Scholarships?

A: A limited number of partial scholarships (for half-price registration fees) are available for educators who do not have funds for professional development. This is especially meant for teachers of high-school and community college astronomy courses, as well as planetarium educators. Highest priority will be given to those who have submitted an abstract for ASP2024 and will be presenting at the conference.

Conference Scholarships are available for a 50% discount.

Early Bird Scholarship Rate: you must submit an abstract and complete the scholarship application by June 20
Regular Scholarship Rate: you must submit a late abstract and complete the scholarship application by July 22

A promotional code will be given to accepted applicants to register at the reduced rate.

Q: I have applied for a scholarship, but have yet to receive notification that I have been accepted.

A: All scholarship recipients will be notified including a link to register with your promotion code. The first round of scholarship acceptances will be notified between June 21 - June 30. Please check your SPAM folder as we've heard that is where some of the conference emails have landed.  Important note: We will notify all those who apply prior to the Early Bird deadline of June 30 so that you can take the lowest fee option ($59). Any scholarship applications received and approved after June 30 will be at the regular discounted rate ($84). See above for deadlines.  Please note there are a limited number of scholarships available so we highly recommend submitting early.

Q: Can I register during the live conference?

A: We will NOT be offering day-of registrations. August 20, 8:59pm PST is the deadline for regular registration.   

Q: I cannot attend the conference, but I understand there will be recordings. If I register for the Conference, when will the video recordings be available.

A: Session video recordings will be available as soon as possible after the conference dates. We will send out an email to all conference registrants with instructions to access the videos & chat on the conference platform. The videos will be accessible through December 31, 2025, but not shareable or downloadable.

Q: I thought I was a member of the ASP and would qualify for the special rate. What happened to my membership rate?

A: We notified our ASP Members (now Legacy Members) in February 2024 of changes to our Community. As your Legacy ASP Membership expires, you will have the option to join the community as a Friend @ $20/year or as a Supporter (@ $15/mo or $180/year). The Supporter level includes a 10% discount on various benefits. However for ASP2024 we are offering a 20% discount off registration to all Supporter level Community Partners.

IMPORTANT: If you are still a Legacy Member through June 2024, you will receive the same discount as the current ASP Supporters until your membership expires. We recommend you take advantage of the Early Bird deadline to maximize your registration fee discount. You do not need to go into your ASP Portal to register. Simply register prior to the Early Bird deadline if your membership expires in June.


Payment Options:

Q: What payment methods do you offer?

A: We accept credit card payments with Discover, Amex, VISA, and MasterCard credit cards. Please note: and our credit card processor is PayPal Pro - but it is important to note that this is NOT payment using the PayPal application. We are not accepting any payments by applications such as PayPal, ApplePay or Square. We also accept payments via an invoice. If your institution issues a Purchase Order, the ASP will send an invoice for payment. All invoices must be paid prior to the conference date in order to receive access to the live Conference.

Q: Are refunds available should my plans change?

A: Attendance to the ASP2024: A Virtual Conference is fully refundable up through Sunday, August 18. You must contact us via email, meeting@astrosociety.org, or via phone at 415-337-1100. We will charge an administrative fee of $10 per attendee to cover the processing expense of the original order and refund exchange. This amount will be removed from your refund amount. A reminder however that we will be sharing recordings of the 3-days for you to access through 2025. One of the great advantages of providing a digital platform for our attendees.
